Before you provide the secretary’s office of the Master Programme with your personal data, please read this declaration of consent to the processing of personal data carefully. Your consent is required for the participation in the process of applying online for a Master Programme

Collection, storage, processing and use of data during the application process
The website of ‘Stiftung Europa-Kolleg Hamburg’ (‘Foundation Europa-Kolleg Hamburg’, hereinafter the Foundation) gives you the opportunity to apply online for our Master Programme ‘European and European Legal Studies‘ (hereinafter: the Master Programme). In addition it is possible to apply for a scholarship for the Master Programme and respectively for accommodation at the Europa-Kolleg Hamburg for the duration of the master.
The Foundation provides the website and the IT-infrastructure for the Master Programme.
The personal data you provide on the Foundation’s website is directly transmitted to the secretary’s office of the Master Programme without participation of the Foundation’s employees. Further processing or possible communication of your data to third parties will be carried out solely by the secretary’s office of the Master Programme, according to the consent you gave with this declaration and during the application process or if requested by law.
The admission of applicants will be decided upon by the Admissions and Examinations Committee, which will be granted access to the necessary data for this purpose. The members of the Committee are bound to secrecy as is specified in the Examination Regulations (Examination Regulations: PrüfO European and European Legal Studies from July 6th and 13th 2011, Art. 4 (7)).
The secretary’s office, the Admissions and Examinations Committee and the management of the Foundation, for purposes concerning accommodation at the Europa-Kolleg, will treat any personal data strictly confidential and in accordance with the applicable legal regulations on data protection and only for the purposes of this application process. Technical and organisational measures to safeguard the data have been put in place. All employees entrusted with the processing of personal data have been obligated to maintain confidentiality.

- Contact and address data, nationality, curriculum vitae and an (optional) photo
- Data and files documenting your professional and higher education, diploma qualifying for admission to an institution of higher education, document proving the graduation from an institution of higher education or most current grade breakdown and course information, possibly indicating credit points, proofs of achievements above average
- Proof of the language proficiencies required for studies and examinations in the Master Programme
- A Letter of Motivation
- Contact data of professors or persons familiar with the applicants academic and professional development, letters of recommendation provided by these persons
- Data about scholarships and the application for scholarships
For this application process it is neither required nor encouraged to provide personal data belonging to special categories as defined in Art. 3 (9) BDSG or Art. 8 of the ‘Directive 95/46/EC of the European Parliament and of the Council of 24 October 1995 on the protection of individuals with regard to the processing of personal data and on the free movement of such data’, i.e. any data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union membership.
Such data will not influence nor enter into the consideration concerning the admission of applicants.
Application for a scholarship
The selection of applicants for scholarships with respect to the Master Programme is carried out by the abovementioned Admissions and Examinations Committee, which will be granted access to your data for this purpose.
If an applicant is selected for a scholarship, the secretary’s office of the Master Programme will transmit her or his personal data to the management of the Foundation.
With the submission of your application for a scholarship you consent to this transmission to the Foundation.
Should you be granted a scholarship, the Foundation will contact you directly. You may then need to provide further data to the Foundation for accounting purposes.
Application for accomodation at the Europa-Kolleg
If you apply for accommodation, the secretary’s office will transmit your personal data to the extent necessary for this purpose to the management of the Europa-Kolleg Hamburg, which is in charge of accommodation at the Europa-Kolleg Hamburg.
The Foundation will contact you directly. You may then need to provide further data to the Foundation for accounting purposes.
Transfer to third parties
The personal data you provide for the purpose of applying to the Master Programme, a scholarship and accommodation at the Europa-Kolleg Hamburg for the duration of the master studies will not be disclosed to third parties, unless you have declared your consent to such disclosure or such disclosure is required by law.
We will not transmit or process data in countries outside the European Economic Area within the scope of ‘Directive 95/46/EC of the European Parliament and of the Council of 24 October 1995 on the protection of individuals with regard to the processing of personal data and on the free movement of such data’
Requesting Information about YOUR PERSONAL data, correction or erasure of your personal data as WELL AS revocation of consent
If you wish to request information about the data stored about you, please contact us via the email address provided above.
In case your application to the Master Programme is successful, you, however, do not take up the offer for a place in the programme, the personal data and files provided by you will be deleted after the application process ends. The same holds true in case your application to the Master Programme is unsuccessful.
At any time you may withdraw your application. Your withdrawal will lead to the immediate erasure of your data and files in our application database. At any time during the application process you may demand the erasure of individual data or files you provided.
You may revoke your consent to the collection, storage and use of personal data and files you provided during the process of the online application at any time and with immediate effect. For this purpose you may send an email to the secretary’s office of the Master Programme (studies[at]europa-kolleg-hamburg[dot]de) or the contact information provided above. After the validity of your request has been determined we will erase your data and you will receive confirmation of your revocation and the deletion of your personal data. A continuation of the application process is not possible in this case.
Revoking your consent during the application process will have the same effect as withdrawing your application.
The data you enter in the respective online forms will be stored in your browser and not on our server before sending, transmission to our servers will only occur once you send the form. While your application is transmitted directly to the secretary’s office of the Master Programme, the website of the Foundation only stores usage data according to the general privacy statement of the website.
The data you provide in the online forms and the documents that you upload will be sent via a StartTLS/SSL encrypted connection to the secretary’s office of the Master Programme. The invitation emails to the referees for your application can only be encrypted if the recipients’ email provider supports this feature.
Declaration of consent
The personal data you enter into the form for online application and the attached files you upload will only be transmitted to the Foundation and be made available to the secretary’s office of the Master Programme once you have activated the checkbox foreseen in the online application form, thereby declaring your consent to the collection, storage and use of your personal data in accordance with this declaration.
The data and files provided by you will only be processed and used for the purposes listed in this declaration.
If your application to the Master Programme is successful, the personal data and files provided by you may continue to be stored, processed and used in order to enable your participation in the Master Programme.

Please follow the steps below
- Choose a referee and ask for his or her permission to be named by you as a referee before providing their personal information. Please use their professional contact details to send an invitation to the referee by using this mandatory form.
- If you wish to apply for a scholarship, please choose an additional referee and follow the same instructions, only this time using this mandatory scholarship form. (different from form No.1!)
- Now you can fill out the application form and, once you have provided all the information, click send. Please make sure that you have all documents ready that you need to upload during the process, as you can not save an open application.
